Terms of Service

These Terms govern the use of Contrasync and explain, in plain language, what data we collect and how we use that information to operate the platform.

1. Acceptance

By accessing or using Contrasync (website, web dashboard and apps), you agree to these Terms. If you are using it on behalf of a company, you declare that you have the authority to bind it to these Terms.

2. About the service

Contrasync is a platform for clients (hiring companies) to manage service providers, including time tracking, contract follow-up, compliance flows, documents, notifications and, where applicable, the issuance and management of electronic service invoices.

3. Accounts and access

  • You are responsible for keeping your credentials confidential and for all activity carried out in your account.
  • Access may happen through login and password and/or through authentication providers (e.g. Google, Microsoft, LinkedIn, GitHub), as available.
  • We may record sessions and security events (such as a login from a new device) to protect the account and prevent fraud.

4. Content and documents

The platform allows the upload and storage of documents (e.g. compliance and contract attachments) and, in the case of electronic service invoices, tax information and the provider digital certificate (when provided).

  • You warrant that you are authorized to upload and share the documents and data you enter.
  • You are responsible for the accuracy and the updating of the registered information (e.g. registration and tax data).

5. Privacy and data (what we collect and how we use it)

5.1. Data you provide

  • Account and profile data: name, email, phone, tax ID (where applicable) and avatar.
  • Company data: legal/trade name, company tax ID and other information registered on the platform.
  • Contract and operational data: parties involved, term, fees/amounts, time logs, compliance settings.
  • Documents and attachments: files uploaded for compliance, contracts and other available flows.
  • Tax data (where applicable): municipal registration, activity codes, municipality code, tax settings and information required for electronic service invoices.
  • Digital certificate (where applicable): certificate file (.pfx) and the password provided for use when issuing electronic service invoices.

5.2. Data collected automatically

  • Session and device data: IP, browser and operating system.
  • Usage and diagnostic records: technical logs, errors and events for stability and security.
  • Cookies and similar technologies (where applicable) for functioning, security and user experience.

5.3. How we use the data

  • Operate the platform (accounts, contracts, hours, compliance, documents and notifications).
  • Calculate and consolidate information (e.g. hours, amounts and taxes, where applicable) to support product features.
  • Issue and manage electronic service invoices (where applicable), including integration with the national invoice API.
  • Protect users and the platform (authentication, fraud prevention and auditing).
  • Support, operational communications and continuous improvement of the service.
  • Comply with applicable legal and regulatory obligations.

5.4. Data sharing

We share data only when necessary to provide the service, for example:

  • Between clients and service providers, to the extent needed to perform contracts, compliance, hours and related documents.
  • With infrastructure providers (e.g. storage and processing) to host and operate the platform.
  • With external integrations used by you (e.g. issuing electronic service invoices), where applicable.
  • With authorities where there is a legal obligation or a valid order.

5.5. Retention and deletion

We keep data for as long as needed to fulfill the purposes described in these Terms, operate the service, comply with legal obligations and resolve disputes. Where applicable, you may request deletion or anonymization, subject to record-keeping obligations.

6. Security

We adopt technical and organizational security measures to protect the data and the availability of the service. Even so, no system is fully immune to risk. If you suspect misuse of your account, contact us immediately.

7. Changes to these Terms

We may update these Terms from time to time. The "Last updated" date indicates when the most recent change happened. If the change is relevant, we may communicate it through appropriate channels.
